Capture the request
Name, callback number, service address, what the door is doing, and how urgent the request is.

Check the service area and approved information. Book only when the configured calendar supports it; otherwise request a callback.

Send the summary to the agreed recipient. For an urgent request, attempt the approved transfer and explain the fallback if nobody answers.

Distinguish an appointment confirmation from a message or transfer attempt. A request is not the same as a dispatched technician.

04 · Before you decide
Questions worth asking.
- Can I keep my existing business number?
- Yes. Hank gets a separate line and you choose whether to forward missed calls, after-hours calls, or all calls from your current number. We check the forwarding options with your carrier and test them before you rely on the setup.
- Will Hank quote a spring replacement or repair price?
- Only the prices or ranges you approve, with your conditions. If the answer requires an inspection, Hank should say that and capture the request. He should not diagnose a broken part or talk a homeowner through a repair.
- Can it book same-day work?
- If your configured calendar and booking rules support it. We test availability, protected slots, and the fallback when no appointment is available. Without a confirmed booking, Hank should describe the next step as a request, not an appointment.
- Does this connect to my field-service software?
- We check your actual software and required actions before making that promise. Deep two-way CRM or dispatch integrations are custom work quoted separately. A basic calendar and summary handoff can be the first scope.
- Is the public demo a garage-door company?
- No. The public number reaches Hank at Matthews Automation. Use it to evaluate the conversation and ask about your workflow. Your shop-specific demo needs your service area, pricing rules, schedule, and escalation contacts. The public line cannot dispatch a technician for your business.
- What does Hank cost?
